How Do I Compare Two HVAC Replacement Quotes?

Reviewed by CS Services Heating & Cooling · Bellevue, Nebraska

The Short Answer

Compare replacement quotes line by line, not by bottom line: the exact equipment model numbers and efficiency ratings, the scope of included work, warranty terms, and who is doing the installation. A lower price often means different equipment or a smaller scope — which may be fine, but you can only judge once both quotes specify the same things.

Step One: Normalize the Equipment

Ask each company for the exact model numbers they're quoting. A 14.3 SEER2 builder-grade air conditioner and an 18 SEER2 variable-speed system are both "new ACs," but they're different products at legitimately different prices. Same for furnaces: an 80% AFUE furnace and a 96% AFUE furnace aren't interchangeable options.

Once you have model numbers, you can see whether the quotes are actually for comparable systems. If they're not, ask each contractor to quote the other's equipment tier so you're comparing like for like.

Step Two: Compare the Scope

Two quotes for identical equipment can still differ legitimately based on what's included. Does the price cover a new thermostat, ductwork modifications, electrical updates, permits, old equipment removal, and a proper startup with testing? Is the refrigerant line set being replaced or flushed? These details are where quotes diverge — and where corner-cutting hides.

Ask each contractor directly: "What does the other quote include that yours doesn't, and why?" Confident, specific answers are a good sign. Dismissiveness is not.

Step Three: Weigh Warranty and the Company Itself

Manufacturer parts warranties are set by the equipment, but labor warranties come from the installing company — and they only have value if the company is around to honor them. A family-owned company with deep roots in Bellevue has a different accountability profile than an operation you can't find a local address for.

Finally, consider the process each company used. Did they measure and evaluate, or glance and quote? Proper sizing requires a real evaluation — the quality of the quote process often predicts the quality of the installation.

Sometimes — if the equipment, scope, and warranty genuinely match the higher quotes. The mistake is assuming they match without verifying. When everything is equal, price is a perfectly good tiebreaker.
